How do I import files?

If you have a large amount of data you want to enter into MaintMaster or need to update existing information, importing may be the most efficient option.

Before making major changes to your production system, it's advisable to do them in a Sandbox first. A sandbox is a copy of your system where you safely can conduct tests without affecting the production system.

To import data into the system, start by exporting a template to understand the required information. You can choose to export all data, or only a portion. In this case, exporting sample data is sufficient. The steps below explain how to export objects:

Export a template file:

1. Go to "File"
2. Select "Export and Import"
3. Select "Export data"

4. Select to export the desired data, e.g. site objects. 
5. Select where to save the file 
6. Click on "Next"
7. Uncheck any properties that should not be included. Customized properties are framed with square brackets.

9. Select to export only "Some example records"

12. Open the Excel file

Each column in the Excel file represents a Property/Datafield on a card:

  • Column A "Row index": Mandatory. Must be filled in numerical order. This information is not imported but helps locate errors if any are found.

  • Column B "Rowcommand": Mandatory. Indicates what action to take with the row.

    • <UPDATE>: Update the existing information.
    • <ADD>: Add a new row to the database.
    • <IGNORE>: The row or column will not be updated.
  • Column C "ID": Do NOT change or add anything. The unique internal ID for each row in the database. This cannot be changed for existing rows or filled in when importing new rows.

  • Column D "Number": Mandatory. This must always be filled in during an import to create a new row in the database. Numbers must be unique, you can't duplicate existing numbers in the system.

  • Column E "CategoryID": Mandatory. The object's category. Correct spelling is crucial, including capitalization, to avoid creating a new category unintentionally.

  • Column D "Name": Mandatory. The name of the object.

Import the file:

1. Go to "File" and select "Export and Import"
2. Select ”Import data”
